Supply Ordering
Time: 20%
Takes inventory and orders supplies (if applicable) to maintain established Inventory levels in all assigned supply areas per established schedule.
Performance Expectations:
• Counts supplies in assigned supply areas, item by item, and notes quantities needed to bring items up to established inventory level; orders items via the inventory management system (e.g. Helios,).
• Orders additional supplies (e.g., over par levels, non-routine supplies, patient charge item) as requested by leadership team and/or clinical staff.
• Anticipates and avoids problems by ordering out of stock and depleted items as soon as possible; offers alternatives to out of stock items when appropriate; checks to see if another area has extra out of stock items.
• Identifies overstocked items and returns them to appropriate party for credit; notifies manager daily of any overstocked items.
• Checks up daily on items “on order” using backorder report and notifies manager of critical items needed to ensure most timely delivery and stocking.
• Identifies fast moving items and monitors them closely.
• Suggest changes in par levels to best accommodate the needs of the floor staff; participates in review of par levels with administrative and clinical leadership.
• Uses appropriate forms, paper or computer based systems to request and credit items. Processes Return Authorization online forms, as appropriate.
• Selects the correct quantity, account number/expense code, cost center, date, and location on all orders.
• Identifies cost containment opportunities and makes recommendations for changes to managers.
Supply Distribution
Time: 30%
Delivers and stores supplies in appropriate location and at an appropriate level/quantity per department guidelines within established time frames.
Performance Expectations:
• Distributes items and stores in appropriate location according to item; follows established priority in the delivery and storage of items; always rotates items before storing.
• Distributes items and patient charge items daily.
• Replenishes area/procedure carts daily.
• Delivers and stocks medications and FDA approved products, if required, within timeframes established by departmental policy and procedures.
• Stores securely all distributed FDA Approved products as per guidelines.
• Stocks supplies in nurse servers, medication rooms, supply closets, examination rooms, patient rooms, treatment areas, labs, waiting rooms, conference and consultation rooms daily.
• Introduces self to patient when entering a room that is occupied by a patient or patient guest.
• Stocks/replenishes patient servers with linen daily (if applicable)
• Replenishes and arranges supplies on patient server trays according to diagram in Resource Manual/on Patient Server Cart.
• Order/appropriately stocks extra supplies for weekend activity.
• Follows all guidelines for safe storage and transport of supplies/equipment/linen and infection control.
• Assists with pantry items, mail delivery or other non-standard items to designated areas as required.
• Records and monitors expiration dates and lot numbers of various supplies and reagents as required to maintain compliance.
• Participates and supports any product related recalls; identify, remove and return non-compliant items as required.
Facility Maintenance and Operation
Time: 10%
Assist with the overall maintenance of the facility. Associate ensures that all areas are maintained in a safe, attractive and appropriate manner that is consistent with the standards of the facility, infection control and the Institution.
Performance Expectations:
• Participates in regular environmental rounds (with administrative and clinical leadership teams) of each suite/service to ensure that the physical appearance and safety of the environment are being maintained in accordance with Institutional standards. Identifies housekeeping and building maintenance issues and takes necessary action (contacts another department, places work order, generate a purchase order, etc.). This includes the maintenance, repair and replacement of all furniture, exam tables, lamps, carpets, upholstery, woodwork, painted surfaces, flooring, ceiling tiles, etc. Identifies issues and contacts appropriate internal resources (Environmental Services, Facilities Management, etc.) or contacts outside vendor for resolution. Internal issues are triaged and communicated to appropriate department via radio dispatch, phone call or e-mail depending on urgency. Keeps track of all issues and follows up until resolved. Meets routinely with the managers to discuss problems. Tracks progress of repairs on facility log.
• Updates facility log of pending and completed tasks; follows up on all facility-related requests within 24-48 hours; follows up with shops when work orders are pending > 2 weeks; escalates issues to Administrator/Administrative Manager.
• Works closely with the LAN Administrator/IT Field Services in the oversight and set-up of all IT equipment to ensure the needs of staff are being met and rooms are being appropriately used.
• Assists with other miscellaneous facility needs, such as room set up.
Equipment Maintenance (Medical and Non-Medical)
Time: 5%
Ensures availability of operational equipment in all outpatient areas.
Performance Expectations:
• Ensures availability of equipment required to carry out area’s operations by adequately assessing and appropriately meeting needs within fiscal guidelines.
• Meets with clinical and administrative staff to ascertain needs for medical equipment. Assists with researching and presenting options to requestors. Submits purchase requisitions, coordinates delivery and installation with vendor. Enters all new medical equipment into the databases and ensures accuracy.
• Coordinates the servicing and inspection of equipment with outside vendors or Medical Physics/Clinical Engineering, and enters service information into databases. Monitors service to ensure proper performance, and makes certain preventive maintenance has been performed on all medical equipment in accordance with Institutional and regulatory standards.
• Facilitates timely repair of scopes; follows Institutional repair/return processes and maintains up to date documentation.
• Monitors service on non-medical equipment (e.g., copiers, faxes, mobile devices, coffee machines, refrigerators, REES monitoring, filtered water machines, freezers, etc.) to ensure proper performance and service. Contacts outside vendors or IT/Help Desk for service, as appropriate. Enters all equipment and maintains all service records in a database. Reviews periodically to evaluate and resolve recurring problems. Makes recommendations for replacement based on historical data.
• Ensures telephone requisitions are processed accurately and in a timely manner.
Specimen Collection
Time: 5%
Collects Specimens from various areas and delivers them to appropriate areas. (if applicable)
• Collects patient specimens from designated areas in the established pickup times.
• Places collected specimens in approved containers/totes.
• Completes necessary steps to ensure chain of custody is tracked when specimens are picked and/or delivered. (e.g. paper logs, scanning devices).
• Transports and delivers time-sensitive materials (blood specimens, biopsy material) between main campus, other MSK locations and assigned Transportation staging areas on a daily basis.
Receiving
Time: 15%
Receives supplies and ensures appropiate tracking occurs in the system.
• Receives deliveries from suppliers and other MSK locations.
• Ensures supplies received match the packing slips and/or orders and records the received items in the appropriate system(s).
• Records and communicates any discrepancies (e.g. shortages, damaged merchandise, overshipments) using the appropiate establish methods and following the most updated receiving processes and systems.
Inventory Management and Requisition Fulfillment
Time: 15%
Manages Inventory and Fulfills requisitions/orders from various departments.
• Sorts and labels received items (if applicable) for the purpose of organizing and identifying items being stored.
• Stocks supplies in designated storage areas following the established inventory management and storeage standards. (i.e. First-in First-Out (FIFO))
• Ensures storeage areas (including storage rooms, coolers, freezers…) are maintained organized and clean following infection control standards in place.
• Monitors expiration dates of items, discards expired and close-to-expiration materials following established expiration rules (eg. Recording items discarded and expired in appropriate system)
• Fulfills item requisitions/requests on a timely manner. Recording quantities picked in the system (if applicable).
• Assembles supplies on carts or appropriate packaging according to designated delivery locations.
• Ensures inventory quantities and established Ievels are accurate in the system at all times
• Notices when an item is below the established minimum inventory level, and either places an order or alerts appropriate stakeholders so a replenishement order can be placed.
• Participates in physical inventory counts and cycle counting activities.
• Follows strict recall policy to ensure recalled items are removed from inventory and discarded or returned for credit as directed.
• Provides daily/weekly inventory counts and other reports (dead-stock, slow moving, etc.) as required by department.
• Delivers materials to requesting departments on a timely manner, following established service levels.
Pay Range: $22.98 - $31.80
