Project Coordinator – Talent Acquisition Operations

We’re looking for a Project Coordinator who thrives on bringing order to moving parts, connecting dots others might miss, and turning ideas into action. You’ll be part of a team that’s reimagining how we attract and engage talent at MSK - using data, technology, and curiosity to make our work smarter and more human.
In this role, you’ll keep projects on track, elevate how we communicate with data, support our TA leaders, and play a key part in how MSK hires for impact.
Role Overview
Lead coordination for all TA training initiatives (including Workday Recruiting, CRM, and process training), team on-sites, and intranet landing page updates to ensure resources are accurate and accessible.
Partner with the TA leadership team to plan, track, and deliver key technology and process improvement projects (e.g., Paradox, AI recruiter pilot, reporting enhancements) — connecting results to measurable ROI, cost savings, and candidate experience improvements.
Coordinate faculty and postdoc recruitment postings, ensuring timely submission, accuracy, and compliance across HR and departmental partners.
Manage logistics for executive and leadership interviews, ensuring an exceptional experience for candidates and internal stakeholders.
Manage calendars for TA executives and directors; anticipate needs, prioritize scheduling, and communicate changes proactively.
Coordinate day-to-day vendor relationships, including meeting notes, deliverables, and performance tracking.
Prepare and synthesize data, presentations, and reports for leadership updates - connecting insights to outcomes.
Track and report on TA Operations financials, including purchase orders, invoicing, and budget stewardship.
Collaborate across HR, Finance, and Procurement to align timelines, budgets, and deliverables.
Streamline and maintain shared Talent Acquisition resources across Teams, SharePoint, and other collaboration tools — ensuring materials are current, well organized, and easy for the team to access and use.
Partner with the Talent Acquisition team on event planning and execution including drafting flyers and marketing materials, managing project planners, coordinating logistics, and reaching out to confirm attendance.
Prepare and distribute meeting recaps, action items, and project trackers to keep stakeholders aligned (TAG, HR Ops, vendors, and Workstream Leads).
Support internal communications by updating newsletters and dashboards (e.g., TAG Hub, HiredScore updates, Workday optimization)
Key Qualifications
2+ years of experience in project coordination or project management - knowledge or working experience in Talent Acquisition, HR, or Operations is a plus but not required if you’re willing to dig in and learn!
Strong proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams) and the ability to translate data into compelling presentations.
Demonstrated experience analyzing data, building visuals, and telling a clear, actionable story.
Proven experience leveraging AI or automation tools to improve workflows or efficiency.Strong organizational and communication skills; comfortable engaging with all levels of staff and taking initiative to improve processes.

Additional Information
Schedule: Hybrid role with flexibility to work and collaborate on-site across MSK’s NYC locations and attend local events. Flexibility is key - on-site days will vary depending on project timelines, executive interviews, and team needs.
Reporting To: Talent Acquisition Leadership
Pay Range: $61,300.00 - $95,100.00
