Assistant to the Chairman, Neurosurgery

We Are:
The Department of Neurosurgery comprised of three brain surgeons and three spine surgeons dedicated to providing our patients the highest quality of patient care, using innovative techniques and the most advanced treatment modalities. Our team of neurosurgeons has expertise in open and minimally invasive surgical approaches, Intra-operative image-guided techniques and awake brain surgery. We are seeking an administrative assistant to support The Chairman.

  • An effective communicator, capable of determining how best to reach different audiences and execute communications based on that understanding.
  • Flexible in your approach and demeanor in order to align with the shifting demands of evolving circumstances.
  • Adept at creating partnerships and working collaboratively with others to meet shared objectives and goals.
  • A good decision-maker, with proven success at making timely decisions that keep the department moving forward.
  • Meticulous in your attention to detail and follow-up

You will:

  • Perform various clerical duties and administrative duties, including but not limited to physician calendar management, organizing travel arrangements, coordinating meetings, processing reimbursements,
  • Initiate and expedite all check requests, travel authorizations, travel vouchers, petty cash forms
  • Answer assigned phone lines and direct calls; use correct telephone techniques and procedures when receiving and making calls; cross-cover other lines as assigned.
  • Maintain complex calendar and create agendas,
  • Complete reimbursement and invoice paperwork, and monitor expenses and payments
  • Assist and participates in Departmental projects.

You have:

  • Bachelors degree preferred plus 2 years of administrative experience
  • Proficiency in Microsoft Office (Word, Excel and Outlook)
  • Strong written and verbal communication skills
  • Knowledge of medical terminology is a plus
