Assistant to the Division Head – Division of Solid Tumor

We are:
The Division of Solid Tumor Oncology in Department of Medicine is grouped into nine subspecialty groups that provide essential expertise, including clinical trials, for every specific type of solid tumor cancer. Our faculty shares broad knowledge of genetic testing, immunotherapy, and classic chemotherapy and integrates these skills with deep, disease-specific knowledge to provide the best individualized plan for every patient.

Physicians in the Division of Solid Tumor Oncology collaborate with other medical specialists to customize each patient’s treatment based on his or her individual disease. Many of our members are nationally and internationally recognized as leaders in their fields, including those who serve as heads of professional organizations and as editors of leading specialty journals.

You will:

  • Assist the Division Head in the support of the service as necessary.
  • Work on projects and serve as the point of contact to help facilitate multiple divisional initiatives and fulfill programmatic needs.
  • Compile departmental data and statistics by providing requested information to meet specific requests, including salary planning, appointments and promotions. Analyze data for accuracy, completeness and relevancy. Identify problems, trends and issues requiring action or further review.
  • Prepare weekly/daily agenda in advance as per Division Head’s request and supply requested materials for all division meetings including meetings with individual faculty services.
  • Maintain complex scheduling and calendar management.
  • Direct interaction with Service Chiefs, serving as primary point of contact in working for projects and assignments.
  • Prepare/produce documents including memos, correspondence, reports, presentations, and manuals as required by the Division Head.
  • Coordinate the preparation, editing and proofreading of academic publications for accuracy as assigned utilizing standard proofreading symbols for publication.
  • Initiate and expedite all check requests, purchase orders, travel authorizations, travel vouchers, General Stores orders and petty cash forms for administrative approval per institutional guidelines.
  • Answer assigned phone lines and direct calls; use correct telephone techniques and procedures when receiving and making calls; cross-cover other lines as assigned.

You have:

  • Bachelors degree preferred plus 2-4 years of experience
  • Proficiency in Microsoft Office
  • Knowledge of medical terminology
